Privacy Policy

1. What this policy covers

This Privacy Policy sets out the information Zoolibrary and its affiliates (“Zoolibrary”, “we”, or “us”) collects about you when you interact with us or use any of our products (“Products”), and how that information is used and disclosed.
Important: If you do not agree with this policy, do not interact with us or use any of our Products. This policy does not apply to the extent that we process personal information as a processor on behalf of an organization (for example, your employer). Such organization controls the information processed by the Products and we act on that organization’s instructions with respect to such information (and not on the instructions of the individuals to whom that information may relate), as detailed in our User Notice.

2. How we collect your information

2.1. Information you provide to us directly. We collect information about you when you: (i) create and manage your account, profile, and preferences within the Products; (ii) post, send, receive, and share content within the Products (to the extent you choose to include information about you in such content); (iii) submit it to our websites (including social media websites operated by us) when you provide feedback or when you participate in any interactive features, surveys, contests, promotions, activities, or events; (iv) choose to submit information to customer support about a problem you are experiencing (which may include, for example, your contact information); and (v) provide payment and billing information (where, for example, we will ask you to designate a billing representative, including name and contact information).
2.2. Information we collect automatically. We collect information about you when you use our Products, including browsing our websites and taking certain actions within the Products. This includes information about the features you use (including how you use them) and how you interact with others through the Products. We also collect information about the devices you use to access the Products (including connection type and IP address) and use (together with our third-party partners, such as our advertising and analytics partners) cookies and other tracking technologies to provide functionality and to recognize you across different Products and devices. Please see our Cookies Notice for more information, which information on how to control or opt out of these cookies and tracking technologies.
2.3. Information we receive from other sources. We receive information about you from: (i) other users of our Products (for example, when they mention you in a message or comment, invite you to the Products, or designate you as a billing contact); (ii) third-party services (for example, when you or your administrator integrate with third-party services such as Google, Microsoft, or Slack. The information we receive when you integrate our Products with a third-party service depends on the settings, permissions, and privacy policy controlled by that third-party service. You should always check the privacy settings and notices in these third-party services to understand what data may be disclosed to us or shared with our Products); (iii) our related companies; (iv) social media platforms; (v) public databases; (vi) and from our business and channel partners. We may combine this information with information we collect through other means described above. This helps us to update and improve our records, identify new customers, create more personalized advertising and suggest services that may be of interest to you.
2.4. Google user data. Our use of information received from Google APIs will always adhere to the Google API Services User Data Policy, including the Limited Use requirements.

3. How we use your information

3.1. To provide the Products. We use information about you to provide the Products to you and other users interacting with you through the Products. For example, we use the profile name and picture you provide to identify you to other users. We also use information about you to personalize the Products. For example, we may use your job title and activity to return search results we think are relevant to your job function.
3.2. To communicate with you about the Products. We use your contact information to send transactional communications, including administrative, technical, and security notices. We also use your contact information to send you notifications about your, and others’, activity in the Products (for example, when you are @mentioned in a channel).
3.3. To provide support. We use information about you to respond to your requests for assistance, to resolve technical issues you encounter, and to repair and improve the Products.
3.4. To maintain and improve the Products. We use information (which may contain information about you) to maintain and improve the Products and to develop new products. For example, we automatically analyze and aggregate search terms to improve the accuracy and relevance of suggested topics that auto-populate when you use the search feature.
3.5. To market the Products. We use information about you (including about your use of the Products) to send you promotional communications, including by displaying ads on other companies' websites. You can opt-out of receiving these communications at any time, as detailed below under "Opt-out of communications."
3.6. To protect. We use information about you (including about your use of the Products) to prevent, detect, and respond to security incidents and other potential violations of our terms and policies. We also use information about you, where required by law or regulation, or where we believe it is necessary to protect our legal rights, interests, and the interests of others, in connection with legal, regulatory, or compliance claims or proceedings.
3.7. With your consent. We use information about you where you have given us consent to do so for a specific purpose not listed above. For example, with your consent, we may publish a testimonial from you to promote the Products.
3.8. Legal bases for processing (for EEA users). If you are an individual in the European Economic Area (EEA), we collect and process information about you only where where: (i) we need it to provide you the Products (including to provide support, personalized features, and to protect the security of the Products); (ii) it satisfies a legitimate interest (which is not overridden by your data protection interests), such as for research and development, to market and promote the Products and to protect our legal rights and interests; (iii) you give us consent to do so for a specific purpose; or (iv) we need to process your data to comply with a legal obligation.
If you have consented to our use of information about you for a specific purpose, you have the right to change your mind at any time. Where we are using information about you because we, or a third party (e.g. your employer), have a legitimate interest to do so, you have the right to object to that use. In some cases, such an objection may mean that you are no longer able to use the Products.

4. How we share your information

4.1. Product users. We share information about you to other users of the Products in order to provide the Products to you and those other users; for example, when you create content (which may contain information about you) and grant permission for others to access such content, or when you use certain collaboration or community features that display your profile information. We also share information about you with administrators of your account (for example, your employer).
4.2. Third-party service providers and partners. We share information about you to third-parties that help us operate, provide, improve, integrate, customize, support, and market our Products (for example, our hosting providers).
4.3. Third-party products. We share information about you with third-party products (for example, Google, Microsoft, or Slack) that you, your administrator, or other users of the Products, have chosen to connect to the Products (for example, by using the “connect” feature on a channel which allows you to synchronize your emails between the third-party product and the Products, and utilize the third-party product’s email sending functionality). Doing so may give third-party products access to your account and information about you (for example, your name and email address) and any content you choose to use in connection with those products (for example, your emails). Third-party product policies and procedures are not controlled by us, and this privacy policy does not cover how third-party products use your information. You should always check the privacy settings and notices in these third-party products to understand how those third-parties may use your information. If you object to information about you being disclosed to these third-parties, please disconnect such third-party products from the Products.
4.4. With your consent. We share information about you to third-parties when you give us consent to do so. For example, we often display personal testimonials of satisfied customers on our public websites. With your consent, we may post your name alongside the testimonial.
4.5. Links to third-party websites. The Products may include links that direct you to other websites or services whose privacy practices may differ from ours. If you submit information to any of those third party sites, your information is governed by their privacy policies, not this one. We encourage you to carefully read the privacy policy of any website you visit.
4.6. Compliance with laws and regulations. In exceptional circumstances, we may share information about you to third-parties (including regulators, law enforcement bodies, and government agencies) where we believe that sharing is reasonably necessary to comply with applicable laws or regulations, or where we believe it is necessary to protect our legal rights, interests, or the interests of others, in connection with legal, regulatory, or compliance claims or proceedings. Where possible and appropriate, we will notify you of such disclosure.
4.7. Related companies. We share information about you to other companies in the Zoolibrary group of companies.
4.8. Business transfers. We may share information about you in connection with an actual or potential buyer (and its agents and advisors) in connection with an actual or proposed purchase, merger or acquisition of any part of our business.

5. Security

We are committed to protecting the information stored in our Products and we use industry standard technical and organizational measures to do so. For more information on how we protect and store your information, please see our Trust Centre (or separately provided Security Overview). While we implement safeguards designed to protect your information, it is important to acknowledge that no system is impenetrable and, due to the inherent nature of the internet, we cannot guarantee information is absolutely safe from intrusion by others.

6. Retention

How long we retain information about you depends on the type of information and whether we have an ongoing business need to retain it. For example, we retain your account information for as long as your account is active and a reasonable period thereafter as necessary to comply with our legal obligations, to resolve disputes, or in case you decide to re-activate the Products. We also retain some of your information (for example, messages you sent to other users) in order to allow other users to make full use of the Products. Where the Products are made available to you through an organization (for example, your employer), we retain your information as long as required by the administrator of your account. If you have elected to receive marketing emails from us, we retain information about your marketing preferences for a reasonable period of time from the date you last expressed interest in our Products. When we no longer have an ongoing business need to retain your information, we will either delete or de-identify it or, if this is not possible (for example, because the information has been stored in automated backups), then we will securely store your information and isolate it from any further use until deletion is possible.

7. Your rights

You have various rights with respect to your information. Depending on which jurisdiction you reside in, you may have the right to: (i) request information about our processing of your information; (ii) request a copy of your information; (iii) object to our use of your information (including for marketing purposes); (iv) request the deletion or restriction of your information; (v) request your information in a structured, electronic format; (vi) request to correct or update your information; (vii) request to opt out of “sales” or “sharing” of personal information and targeted advertising (as defined under applicable law); and (viii) request to opt out of certain profiling activities. You can exercise these rights at any time by using the features available within the Products (which may require you to contact your administrator, where the Products are administered for you) or, where no such feature exists, by emailing us at privacy@zoolibrary.com. If you have unresolved concerns, you may have the right to complain to a data protection authority or to ask us to reconsider a previously made decision with respect to our processing of your information.

8. International data transfers

To facilitate our global operations, we may transfer information globally and allow access to that information from countries in which Zoolibrary operates and by the third parties described in this privacy policy which provide services to us under contract. These countries may not have equivalent privacy and data protection laws to those of the country in which you reside. Rest assured, all appropriate safeguards are in place. For individuals in the European Economic Area, the UK, or Switzerland, this includes use of the European Commission-approved standard contractual data protection clauses, binding corporate rules for transfers to data processors, or other appropriate legal mechanisms to safeguard the transfer.

9. Our policy towards children

The Products are not directed to individuals under 18. We do not knowingly collect personal information from children under 18. If we become aware that a child under 18 has provided us with personal information, we will take steps to delete such information. If you become aware that a child has provided us with personal information, please contact us at privacy@zoolibrary.com.

10. Changes to our Privacy Policy

We may change this privacy policy from time to time. We will post any privacy policy changes on this page and, if the changes are significant, we will provide a more prominent notice by adding a notice on the Products homepages, login screens, or by sending you an email notification. We will also keep prior versions of this privacy policy in an archive for your review. We encourage you to review our privacy policy whenever you use the Products to stay informed about our information practices and the ways you can help protect your privacy. If you disagree with any changes to this privacy policy, you will need to stop using the Products and deactivate your account, as outlined above.
